Domain Verification Workflow (SMTP Settings)

Overview

By enabling this feature, JobAdder will be able to send emails on your behalf using your domain name, for example, "applications@yourcompany.com" vs "applications@jobadder.com." Email providers need to check that the emails they receive are authentic and come from valid sources. Otherwise, anyone could send mail from your domain, pretending to be from your company. We need a way to specify valid and authenticated senders, and this is where SPF (Sender Policy Framework) comes in.

What is a subdomain?

A subdomain is an extension to your main domain name. Subdomains are created to organise and differentiate sections from your main domain. JobAdder will create your company's subdomain to use to send email, don't worry, your email addresses will remain the same.

No additional cost will be incurred by creating a subdomain.

What is SPF?

SPF is an email authentication protocol that allows the owner of a domain to specify which mail servers they use to send mail from that domain.

 How does it work?

Brands sending email publish SPF records in the Domain Name System (DNS). These records list which IP addresses are authorised to send emails on behalf of their domains. During an SPF check, email providers verify the SPF record by looking up the domain name listed in the "From" address in the DNS. If the IP address sending email on behalf of the "From" domain isn't listed in that SPF record, the message fails SPF authentication.

Why does it matter?

An SPF-protected domain is less attractive to spammers and cyber-criminals. It is, therefore, less likely to be blacklisted by spam filters, ensuring legitimate email from that domain is delivered.

Adding Domain

Adding your domain

To add your domain, as an Admin user, navigate to Account > Admin > General > SMTP Settings.

You'll be presented with a list of all current user domains. Select the domain you belong to and begin the registration/verification process:

Pro tip 🎉 As part of the registration process, you'll be sent an automated email with instructions detailing the domain verification process.

 

Adding someone else's domain

When adding a domain which you do not belong to, you'll see a verification prompt:

The drop-down list will display all active users who use that domain name.

When 'Add Domain' is clicked, the domain will be added for verification, and an email will be sent to the selected user. Click 'Confirm and Add Domain' in the email to continue:

Verifying Domain

Once you've completed the adding process, there are two steps to verifying the domain. First, enter an email address to send the DNS details to, then click Send DNS Details:

TXT Records

The recipient will receive an email with detailed instructions on adding TXT Records to your Domain. Add two seperate TXT records; one for SPF and one for DKIM - as outlined in the instructions email:

MX Records

Next, you need to add MX Records. We require two separate MX Records to be added.

Add the MX Records following the same process you did with the TXT Records. In this case, the values should be:

CNAME Records

Lastly, you'll need to add a CNAME record. The CNAME Record enables Open and Click tracking. This is highly recommend in order to gain insights into your email performance.

Important  ❗️ Please contact JobAdder Support to inform us that you've added a CNAME Record so we can complete the activation process.

 

Verification 

Once these TXT Records have been added, you will be able to see the newly added values next to ‘Current SPF Value’ & ‘Current DKIM Value’ after clicking ‘Verify Domain’. Please allow 48 hours for propagation. 

If the fields still show ‘No Value’, double check the entered HostName, and ensure the correct Record Type has been assigned.

You will know this process was successfully completed when the field ‘Domain State’ becomes ‘Verified’.

Next, click Send Verification Request (if required). When ready, click Verify Domain:

Once confirmed, you'll see a confirmation message in the domain ownership section:

Once both elements are completed, you'll see a message confirming that the 'domain is currently being used to send outgoing emails'.
